Apollo.io Review in 2026: The Right Sales Tool for Your Business?

Sales platforms are among the most important additions to every business’s tool stack, both remote and in-office, due to their sheer efficiency. They bring prospecting, engagement, campaign management, and closing features all under one roof.

In another series of our top sales software reviews, let’s give a warm welcome to Apollo.io—a powerhouse in the sales automation market.

Let’s dive right into it.

P.S. We’ve already covered a detailed lemlist review, and will consistently add new ones to make this a new tradition, helping you make the right decision when looking for a new sales software for your business.

What is Apollo.io? The product overview

With over 500,000 companies using Apollo.io for their sales operations, it’s safe to say that it’s a well-functioning automation tool. While positioned as a sales intelligence platform on G2, Apollo.io has the potential to be called an all-in-one sales automation suite.

Containing an extensive lead database, inbound and outbound prospecting features, multichannel sales engagement, deal management, analytics, email deliverability, and more, businesses can integrate most of their sales processes with Apollo.io.

It’s gained a particularly strong reputation for its lead database with up-to-date prospect and company data, as well as effective intent signals. This empowers sales reps to pinpoint the hottest leads and launch Apollo outreach sequences at the most optimal time, increasing the odds of booking a demo and making the sale.

Suitable for businesses of all sizes and industries, Apollo.io is a versatile tool that can be used by both sales and marketing teams, streamlining and automating their inbound and outbound efforts.

While Apollo.io ticks all the general boxes of a sales automation platform by spreading out its functionality, tools like Reply.io prioritize outreach by incorporating more advanced AI features, such as its one-of-a-kind AI SDR agents that not only create tailored outreach sequences with personalized messaging for each unique prospect, but also handle responses by answering queries, handling objections, and booking meetings on your behalf.

So, if outreach is your sales team’s number one priority — we invite you to take a closer look at Reply.io and see for yourself how these AI SDR agents can be fully-fledged new ‘members’ of your sales team.

How to get started with Apollo.io?

Creating your Apollo.io account is quite simple, just sign up with your work email or directly through Google/Microsoft with your work or personal email..and that’s it.

Considering they have a freemium plan and 14-day trials for all paid plans, new users can play around with the platform before committing to a serious purchase.

Once you’re signed in, you are welcomed with a simple, step-by-step, almost gamified onboarding process to help remove the learning curve:

You can always skip the onboarding (top right corner) and come back to it at any time, but with complex tools like sales automation platforms, it’s always best to undergo the training right away to experience the product for its full potential, even if you’re just testing it out.

Once setup is complete, or should you choose to skip it for later, users will enter their Apollo.io dashboard for the first time:

As with most similar tools, there is a neat tab on the left side for easy access to all key features, with the onboarding hub and settings right below.

The UI is incredibly clean and unclustered, and while I am a fan of minimalistic layout and design, this may not be everyone’s cup of tea.

Assuming you’ve completed the onboarding or sufficiently tested out the platform dashboard, you are now ready to get down to business and use Apollo.io to supercharge your sales workflows.

What are the main Apollo.io features?

Apollo.io has a robust set of features designed for every stage of the B2B selling process, from identifying targeted prospects to closing deals.

Here’s an overview of Apollo.io’s main features that make this product one of the most powerful sales automation platforms on the market.

Turn cold prospects into warm leads (3x reply rate)

Forget writing endless content or buying fancy tools. This step-by-step playbook shows you how to tap into content your buyers already love, personalize at scale, and follow up without being “that person.” Real examples + templates included.

Contact database

Apollo reviews show good attitude to its database

Apollo.io gives users access to its rich and extremely detailed contact data on a whopping 275 million prospects and 73 million companies, which is quite a big number, so don’t expect 100% of these contacts to be verified and up-to-date.

As you can see, there are enough search filters to go around for everyone, allowing sales, marketing, and development teams to build hyper-targeted prospect lists with ease. As with other consolidated sales platforms with native databases, users can then push their new cntacts into existing outreach campaigns with a click of a button.

What’s great about Apollo’s contact database is that it goes way beyond the general name and email finder — it also provides businesses with buying intent and buying signals data. This could be anything from ‘company expansion’ to ‘opened 2+ emails in 1 week’ and so on, helping you prioritize those leads that show potential interest in making a purchase.

Their database is regularly updated to ensure the most accurate and up-to-date data. All in all — a decent B2B contact database that definitely cancels out the need for purchasing a separate lead generation tool.

Lead qualification

apollo.io pricing make it affordable to generate leads

More and more of the top sales automation platforms are leveraging the powers of AI for lead qualification, and Apollo.io is a proud member of the club.

Apollo’s lead qualification works by assigning scores for each unique prospect based on their customer profile, behaviors, history, and overall likelihood to convert. As a neat extra touch — businesses get to customize the scoring criteria based on their desired metrics, making the qualification process more aligned with their unique sales goals and strategies.

For example, you could assign prospects who visit your pricing page over 3 times — 10 points, those who visit your company webinar — 2 points, and those who start a free trial — 15 points, and so on.

Apollo.io claims to update these scores in real-time by analyzing all new data added to each customer/company profile, further removing all the tedious manual work that comes with lead qualification, especially when dealing with tens of thousands of prospects.

Inbound lead generation

apollo.io reviews for its inbound features

When it comes to Apollo.io’s inbound features, I have to say, I was a bit underwhelmed.

The platform allows users to create customizable forms (as seen above), and then, depending on the prospect and/or company data provided — AI will generate a personalized message for all relevant inbound leads.

In other words, inbound leads will go through the AI-powered lead scoring process discussed in the previous section, and then be pushed into automated inbound nurturing sequences, depending on their purchase-readiness.

And that’s where their inbound functionality ends. Though, Apollo.io does provide the opportunity to monitor how well your inbound strategy is performing to make the necessary timely adjustments.

Sales engagement

Apollo.io automates your business outreach by creating AI-generated sequences with email, phone, and LinkedIn messaging. These multichannel sequences are designed to nurture your prospects throughout their buyer journey without ever missing out on an opportunity by forgetting to follow up or missing a strong buying intent signal.

Apollo’s AI Assistant now supports more of the outbound workflow through natural language prompts, helping users decide who to target, what to send, and what to do next from inside the Apollo workspace. Apollo says the AI Assistant is currently free as an introductory offer on Basic, Professional, and Organization plans, while Free plans include up to 5 chats.

Afterward, launching your sales outreach is pretty painless, since everything is heavily automated, and the only thing needed is to ensure the campaigns are running smoothly and refine them where required.

Reply.io takes AI-powered sales outreach one step further with its ability to not only create hyper-personalized outreach campaigns at scale (based on sourced prospect date), but also handle responses by providing unique answers to questions and objections, and even booking meetings on your behalf, 24/7!

Deal management

apollo.io review of its deal management

Every leading sales automation platform has that one thing that makes it stand out from the crowd, and in my humble opinion, it’s their deal management features.

Apollo.io users get to experience a clear view of all their deals right from the home dashboard, allowing them to see which accounts bring in what amount of money, which businesses are ideal for upselling or cross-selling opportunities, which are soon ending their subscriptions, and so on.

Not only does this give a better understanding of your clients, but it can also be a powerful tool for customer retention

For instance, users will get alerted when some of their clients are showing signs of potential cancelation, and not only that, but also Apollo’s AI will suggest the best next course of action (usually in the form of a relevant, personalized message) to prevent that from happening:

These 5 key features make Apollo.io a well-rounded sales automation platform for all businesses looking to automate and scale their sales strategies. Additionally, users can enjoy extra Apollo email marketing and sales features such as campaign analytics, email deliverability features, AI conversation intelligence, and internal team management features.

For teams asking “is Apollo.io safe,” Apollo states that it is SOC 2 and ISO 27001 certified, GDPR compliant, and uses encryption in transit and at rest. That doesn’t remove the need for internal permission controls and compliance review, but it gives buyers a clearer baseline for evaluating the platform’s security posture.

What are the Apollo.io pricing plans?

Apollo.io’s price is surprisingly quite reasonable, considering the amount of value you get and the name it has established in the market.

It comes with 3 paid pricing plans — Basic, Professional, and Custom, as well as a limited Free plan for those looking to get a feel for the product before making a purchase.

Pricing is still seat-based, but Apollo also uses credits for data access, exports, enrichment, and certain usage-based actions, so the real cost depends on both seats and credit consumption.

Let’s take a look at each one in more detail:

1. “Free” Apollo.io pricing plan

While positioned as a plan for individual users or small teams just getting started with sales automation, Apollo.io’s free plan is too limited to conduct any form of business workflows (but so is the case for most freemium sales software).

The Free plan is best treated as a testing plan, not a full sales workflow. Apollo currently lists 900 credits per seat per year, granted monthly, and its FAQ notes that non-paying plans can only connect Gmail accounts for email campaigns. It is useful for exploring the product, but too limited for serious outbound.

2. “Basic” Apollo.io pricing plan

Priced at $49 per user/month when billed annually, Apollo.io’s Basic plan is the entry-level paid option for teams that need more prospecting and outreach capacity. Apollo currently lists 30,000 credits per seat per year, granted upfront, on the Basic plan.

With more extensive contact search filters, unlimited email and sequence automation, a built-in cloud-call dialer, and several key integration features—this is a great plan to get started with Apollo.io (you can always upgrade when the time is right).

There are still a fair amount of limitations on features and usage, but a significant step up from the Free plan.

3. “Professional” Apollo.io pricing plan

Looking to enjoy more of Apollo.io’s sales workflow features? The Professional plan is currently listed at $79 per user/month when billed annually, or around $99/month with monthly billing, and is better suited for teams that need more advanced sales engagement, analytics, automation, and workflow capacity.

Besides all the features from the Basic plan, the Professional plan also comes with higher limits for the AI email assistant (800k words/month), call recordings and AI conversation intelligence, tracking website visitors, advanced analytics and reporting dashboards, and priority customer support.

While some of the key features are still capped in the Professional plan, the volume provided is more than sufficient for small to medium-sized businesses, and if not—then your best (and only) option is the next, premium pricing plan.

4. “Custom” Apollo.io pricing plan

Apollo’s Organization plan is now the main higher-tier public plan, typically listed at $119 per user/month when billed annually, or around $149/month with monthly billing. It is designed for larger teams that need more governance, reporting, integrations, workflow control, and security-related features.

On top of the Professional plan, Organization is the better fit for larger teams that need more advanced reporting, API access, security controls, custom workflow requirements, and team-level administration. Apollo’s pricing page also notes that API access is available on Custom plans for more advanced integrations, so teams with heavy API needs should confirm what is included before buying.

While the price tag is quite hefty, realistically speaking, the Custom plan will remove the need to pay for at least 1 or 2 extra tools in your tech stack, given its extensive suite of features.

What are Apollo.io reviews by real users?

The Apollo.io reviews are exactly what you’d expect them to be — pretty good.

  • G2 →  4.8 / 5
  • Capterra →  4.6 / 5
  • Product Hunt →  4.4 / 5

After looking through hundreds of Apollo.io reviews from real users, the most often-mentioned pros and cons include:

✅Coming as no surprise, users love the vast and accurate contact database, which is crucial for effective prospecting.
✅The platform’s clean and intuitive dashboard UI makes it easy to navigate and use.
✅The automated outreach sequences, while simplistic in nature, work flawlessly without any issues.

❎Some users find the initial setup and onboarding process complex, though I did not experience that at all.
❎The Free plan is too limited for any form of business use, which is a negative for those looking for a functional sales automation tool at no cost.
❎At times, users report minor bugs and glitches with the platform, though I did not experience a single one during my testing of the product.

And, some real-world reviews:

“I love how this gives me the email information for some of the top companies I need to work with. It has helped me generate revenue for my company in ways I could have never done on my own.”

“Very useful tool that allowed us to scale our outbound strategy from lead gen to sending.

Their product evolves very fast and they keep innovating.

Why not 5 stars?: Replying to emails from multiple domains is far from being optimized.”

“Well, If you are entering into any new territory – and do not have any clue of the regional top business leaders, this is the best way to go. If you know how to target your leads on LinkedIn, the same is expected here and you are connected and a well-designed sequence is generated for your cold emails. We have attained good contacts and leads out of this software while we are targeting the middle east clients.“
