How Conditional Sequences work with your prospect data

Conditional Sequences are an absolute game-changer, especially when your prospects have different types of contact info. Let us describe.

In reality, some might have emails, others just LinkedIn profiles, and some only phone numbers. With Conditional Sequences, you can easily reach every prospect based on the data you’ve got.

We’ve added 2 new steps:

  • Condition → this splits your sequence into two paths depending on whether the condition is met (like if a prospect opens an email, accepts a LinkedIn request, etc.).
  • Action → the available action is ‘Move to Sequence’.

You’ll still have all the regular steps—Email, LinkedIn, Call, WhatsApp, SMS, Zapier, and Tasks—to keep things running smoothly.

For example, say your first step checks if an email is available. You set up a condition that sorts prospects into two branches: ‘Yes’ or ‘No’. Prospects with emails go down the ‘Yes’ path, and those without emails follow the ‘No’ path. 

Simple as that—Reply.io does the sorting for you automatically!

From there, you can keep building your sequence. 

For prospects with an email, you can set up a follow-up flow with more emails. For those with just LinkedIn, you can create a path that includes connection requests, DMs, and other LinkedIn actions.

If a prospect only has a phone number, Conditional Sequences let you craft a custom outreach too. You could kick things off with a WhatsApp message, follow up with an SMS, and schedule a call if there’s no response.

How Conditional Sequences work with prospect engagement

The system also monitors contact engagement—like when a prospect opens an email, connects on LinkedIn, or responds within a set time.

Monitoring in Conditional Sequences allows you to choose the time frame, with the system checking every 10 minutes to see if prospects have taken action:

  • If they do, they’ll move to the next step right away. 
  • If not, they’ll go to the ‘No’ branch when the time is up.

Here’s how to set up Conditional Sequences in just a few easy steps:

  1. Head to the sequences tab and click ‘Create New Sequence.’
  2. Click to add a step and choose ‘Condition.’ Set criteria like:
    1. LinkedIn Connection Status is “Connected”
    2. LinkedIn URL is set
    3. Email Validation Status is valid
    4. The contact has opened, viewed, or replied to your email.

Your sequence will split into ‘Yes’ and ‘No’ paths, numbered for easy tracking (check the example above with the 4.1 step for “Yes” and the 4.2 step for “No”).

  1. The system monitors your conditions over a set period (e.g., 4 days). If the condition is met, the contact moves forward; if not, they go to the ‘No’ branch.
  2. Add actions like ‘Move to Sequence’ for both branches to keep things running smoothly.
  3. Use the Stats tab to track how contacts move through the branches and tweak your outreach accordingly.

This pattern watches how many times a prospect views your emails. If they view it over five times, they’re hot, so it shifts them to a new sequence to focus more on them.
